When is it appropriate to ask someone in your network for a letter of recommendation, and how do you make the request to maximize the chance of a strong letter?

I'm applying for fellowships and need recommendation letters. I have a few professors and a collaborator in mind, but I'm unsure of the etiquette. How far in advance should I ask? What materials should I provide to make it easy for them to write a compelling letter?

Timing and preparation are everything. Ask at least one month in advance for a standard letter; for highly competitive national fellowships, ask 6-8 weeks ahead. Your request should be a formal email with a clear subject line: "Request for Letter of Recommendation: [Your Name] for [Fellowship Name]." In the body, politely remind them of your connection and the context in which they knew your work (e.g., "I was a student in your Fall 2022 Advanced Topics course" or "I worked under your supervision on the X project"). To maximize quality, attach a single, well-organized packet including: your updated CV, your research statement/personal statement for the application, the specific prompt or evaluation criteria for the letter, and bullet points highlighting key projects or achievements you shared. This "kit" reminds them of your accomplishments and tailors the letter to the opportunity. Always offer to meet virtually to discuss further. A thoughtful, prepared request shows respect for their time and yields a stronger, more detailed letter.

I usually ask only people who know my work well, and I make sure they have enough time to write thoughtfully. In the email, I summarize our shared experience, clarify the purpose of the letter, and provide concrete reminders of relevant projects or accomplishments.

Offering to meet virtually or provide additional materials makes it easy for them to write a personalized letter rather than a generic one.
